Composing Thank You Emails

Successful interview etiquette includes composing thoughtful thank you emails to hiring managers. These emails give the perception of great interest in the job at hand and that you fully understand the company’s needs and how you can fit in. Your email should be brief yet polite and include more information regarding your skills and abilities. Our expert recruiters share their insight into composing a winning thank you email.

Gathering Information

The first step in writing a successful thank you email is to collect business cards at the time of the interview. Business cards will help ensure you have everyone’s email address along with the correct spelling of their names. If you could not obtain any business cards, check with the receptionist on the way out, as they should have access to the cards. If the interview is conducted virtually, you can obtain this information from the main contact.

Composition

You should compose your email(s) as soon as possible because you want to keep your candidacy fresh for the interviewers. Be sure to write a separate email for each person you meet. You can use the same email template for each email and make some minor tweaks to each one.

Your subject line can include your name and the position that you interviewed for, along with the words “thank you.” This subject line will make it clear what the intention of the email is and should prompt the hiring manager to open it.

Reiterate how you can help obtain company goals as it shows you were fully engaged during the interview and understand what the company is looking for in a candidate. Circling the conversation back to your skills will remind them why you are a good candidate for the job.

Inquire if you can answer any further questions about your skills and abilities. This action can help uncover any potential issues with your candidacy and allow you to overcome objections if they arise.

You can ask a question to keep the conversation going. Ask questions related to the specific projects discussed during the interview or questions about the team’s challenges. Avoid inquiries related to the compensation package in your thank you email.

Circle back to reconnecting. If the interviewer suggested a timeframe for when they would contact you again, reiterate that time. Otherwise, suggest that you reconnect in one week. If you haven’t heard back within the specified time, you can send a gentle reminder to the hiring manager asking for an update.
